What does a conformity report show?

A conformity report records the condition of a defined location, system or work item against specified criteria. Its meaning depends on its scope and the competence of the person performing the assessment, not only its title.

Electrical installations, earthing, lightning protection, fire systems and permit designs are distinct review types. A document for one system does not establish conformity of others unless they are expressly included.

What information should a report include?

The facility and inspected section, date and location, scope and limitations, method, measurement equipment and results, criteria, findings and conclusion should be clear. Check the Ministry's published report criteria for the relevant equipment type.

For measurement-based reports, conditions and the measurement point matter alongside the numerical value. Limitations such as restricted access, unavailable power or missing documents should not be concealed.

A report, design approval and certificate are different

Design review assesses a planned solution; periodic inspection records the condition of an existing installation against defined criteria; conformity or acceptance documents issued by an authority or utility belong to their own processes.

Before commissioning a report, clarify where it will be submitted, which rule or specification applies and which installation it should cover. The phrase 'conformity report' alone may not identify the required document.

After a non-conformity finding

List findings with priority and location, then determine corrective action and any reinspection. The purpose is not just a pass/fail label but a traceable technical record for decisions.

Whether correction requires reinspection or design revision depends on the finding and applicable process. A report must not imply that work has been completed when it has not.
